Job contribution

 

Overall Job Purpose       (Max 3 Points)

  • Ownership of the compliance process for mission critical vehicles and the day-day relationships with the maintenance suppliers, account management teams and key customers
  • Ensure maximum customer confidence through owning the compliance process and supplier management.
  • Ensuring customer’s vehicles are legal and road worthy and exceptions are managed accordingly.

Key Responsibilities

Core Role

  • Ensure vehicles are maintained and managed to set compliance parameters and fit customer requirements
  • Support the Network and Supplier Management team with knowledge and data to drive ownership and accountability.
  • Ensuring compliance systems and records are up to date and shared with stakeholders as required.
  • Preparation of vehicle ‘compliance portfolio’ for handover to Technical / in-life teams.
  • Building trust and confidence with customers and commercial teams.
  • SME for vehicle compliance within the business, up to date with VOSA/DVLA/Traffic commissioner guidance and legislation.

Relationship Management

  • Manage the overall compliance checks and audits with suppliers and any 3rd party associated service providers.
  • Support Tender & Implementation teams for new opportunities where compliance management is required
  • Ensuring regular communication with Commerical, Operations and  CS&Q in relation to client specific requirements.

Financial Control

  • Ensuring CV, CS&Q and Account Management teams are aware of issues relating to legal or advisory compliance updates, supply management and fleet related issues.

 

Reporting & Systems (including Service Level Agreements - ‘SLAs’)

  • Manage all activity through a supplier system (or equivalent), setting and maintaining clear milestones, actions and accountability
  • Ensuring accurate forecasting, planning and documentation is shared and up to date.
  • Meet all agreed SLA’s and Key Performance Indicators (KPI’s) linked to compliance management.
  • Maintenance of full accurate customer records in accordance with GDPR requirements

Delivering Great Service

  • Arrange regular update meetings with suppliers and clients to track progress of fleet compliance.
  • Keep abreast of fleet market conditions and specific industry changes.

Qualification and competencies

 

Desirable Education & Technical Ability

•         Evidence of relevant industry knowledge

•         Experience in vehicle compliance management

•         Degree or relevant experience in fleet management/logistics

  •      CPC holder or O Licence experience
  •      Experience in supplier & client relationship management

•          Fluent in business English language - written and verbal

 

Desired Previous Work Experience

  • Good level of knowledge and experience of fleet compliance process
  • Knowledge of working in a Fleet and Commercial environment.
  • Experience of working in teams and managing stakeholders.
  • Ability to work independently.
  • Working knowledge of core Microsoft applications (Word and Excel).
  • Smartsheet experience an advantage but willingness to learn quickly is essential
  • Ability to attend client & supplier meetings
  • Current driving licence
